00:00: When you're going to create a new activity for your catalog, it's very simple. You can do it in a couple of different ways.

00:09: I start by giving it a name – I'm going to call it a 'Horseback River Ride'. This is an internal name, so keep it short but descriptive.

02:34: I'm going to start with the hotel's own pricing because if I choose my hotel's tour agency as the provider, and then for some reason I need to get a sub provider, I might want my hotel's to be a little bit higher than the sub providers so that I can earn some income on that.

02:53: You might remember I set it so children aren't available, but just to be on the safe side so that nobody accidentally selects it, I'm also putting 120 in as the price for a child.

04:58: Decide what status should appear on the Planns page when the activity is requested,

Step 1: Understand what the catalog includes

Your Activity & Pricing Catalog (formerly the Pricing Matrix) lists:

  • All Resources (tour operators, spa, drivers, restaurants, etc.)
  • All internal providers (Housekeeping, Maintenance, Beach Captain, Concierge, etc.)
  • All activities each Resource offers
  • The default prices for each activity

This is where you set:

  • adult/child pricing
  • group pricing
  • per-person pricing
  • extras and additional fees
  • whether something is free (Zero Price)

Step 2: Edit prices directly in the matrix

Type the price into the field you want to update.

When you change a price, a Save button appears on the right β€” click it to confirm.

You can also filter by activity or resource to find things faster.


Step 3: Understand the pricing columns

Each column affects how the final price is calculated:

  • Zero Price β€” use this if the activity is complimentary.
  • Per-Group Price β€” one flat price for the whole party.
  • Per-Person Price β€” charged individually per guest.
  • Other Fees β€” additional charges like park fees or equipment rentals (always per person).
  • Extras β€” optional group-level add-ons (e.g., child seat on a bike rental).
  • Reason for Extras β€” simple explanation such as β€œChild Seat.”

Note: Planniac does not support infant pricing. If you charge separately for infants, add that in the activity when creating the reservation.


Step 4: Set the correct pricing logic inside each activity

Each activity also has a β€œsold on” setting (see Settings > Activity). This determines how Planniac charges for it.

Choose:

  • Per-person β€” most common (tours, spa, transfers, events)
  • Per-room β€” setups, decorations, early check-in/out
  • Per-item β€” rentals or items guests can request by quantity
  • Daily β€” vehicle or equipment rentals charged per day

Choose the option that makes sense for how you normally charge guests.


Step 5: Add pricing for activities offered by multiple Providers

If multiple Providers offer the same activity (e.g., several tour companies offering the same excursion), you can set pricing for each one. Planniac uses the price for whichever Provider is chosen when scheduling the Plan.


Step 6: Pricing for tasks

Tasks (such as housekeeping requests) can have prices too, especially when you want the charge recorded and reflected in Cloudbeds or marked as β€œIncluded in package.”


Common Questions

What if I never charge for an activity?

Mark it as Zero Price (see Article 2a below).

What if the price depends on the Resource?

Set pricing for each Resource β€” Planniac uses the correct one automatically.

Can I charge both a group price and per-person price?

Yes β€” very common on charters or tours with included/excluded headcounts.


Example scenario

A snorkeling charter includes 6 people for $400. Two additional adults join, plus a child.

You set:

  • Group price: $400
  • Extra adults: $125 each
  • Extra children: $50 each
    Planniac calculates everything automatically.
