If you need to change the date the activity is scheduled, or modify any other activity details, just click on the date.<h4>Type</h4>There are a number of activity types in Planniac. You can filter the Type on the Planns dashboard view by filtering only &nbsp;the types that you want to see. &nbsp;NameThe Guest Name column will show the name of the primary guest in the room, or the name of another person in the room responsible for the activity.Rememeber you can filter by guest name so that you see only the activities related to that particular guest.If it's a group reservation, when filtering you'll see all the activities for the entire group.<h4>Room Name</h4>The Room Name &nbsp;shows the name or number of the guest room associated with an activity.If the name of the room does not display but instead you get one of the following warning messages, you should check the activity detail to make sure you have not scheduled something that should be moved to different dates or cancelled.<ul><li>A CHECK DATES warning means an activity is scheduled outside of the guest's stay at your property. This could mean the room reservation dates had changed and no one had rescheduled the activity. It could also mean the activity was put on the dashboard in error. Either way, by clicking on the CHECK DATES error message you would be taken to the GUESTS reservation details page.</li><li>NO SHOW would mean the guest never checked in for their reservation (or someone overlooked checking them in on the PMS.</li><li>RES. CANCELLED would indicate the room reservation had been cancelled and in that case you should check to be sure the activity had been cancelled with the resource.</li><li>DELETED means the room reservation was deleted from Cloudbeds. Make sure you have contacted any operator who had confirmed plans for this guest to let them know.</li></ul><h4>Time</h4>This is the time scheduled for the activity to begin. Activities are displayed chronologically so earlier activities will display above later ones.If the time shows Not Set in red, it means you need to edit the activity to include the time information.Remember that everything that shows up red on the dashboard indicates followup is needed!The time and date formats will depend on your computer settings (Settings &gt; Business information).<h4>Activity</h4>This displays the name of the activity scheduled. You can click on it to open the activity edit tool in case there are updates or changes that need to be made.If there's an info symbol (i) on the activity name, it means there is a note to read. You can see it when you hover over the activity. The note is normally something important that needs to be seen by the Front Desk associate. That could be notes input by you or another a team member, or dietary information so that you have a quick reference when calling a tour operator or other resource to schedule something for a guest.Pro Tip: Only users with specific access can add new activities that you can select from. If you are trying to change an activity or customize it, it must be set up first. If you have the permissions to do so, you'll see the Activity &amp; pricing catalog tab on the left side of the page. An activity always has to be set up first before you can choose it from a list.<h4>Provider</h4>This indicates who is responsible for providing the activity.When you hover over the name of the resource (supplier / operator / vendor / assigned), you'll get a phone number for quick reference. Note the phone number will only appear when it has been entered on the resource's profile in the Resources section of Planniac.Remember you can filter the page by provider using the filters tool at the top of the page.<h4>Status</h4>The Status column indicates the stage of planning the activity is in. The user who initiated the activity in the first place would have selected a status. Something may have been planned and confirmed right on the spot, or it may have been just an inquiry that requires followup.&nbsp;<hr>Pro Tip: Remember, if it's red, it probably needs follow-up.<hr>Read more about <a href="https://3ac5o618v1uncdc.productfruits.help/en/article/managing-status-updates-for-a-smooth-shift-handover">selecting and using statuses</a><h4>Quantity</h4>This column on the Planns page shows you how many people or items are included in the activity. This changes a little depending on what kind of plan is made. You might notice participants, number of items, or the number of days or hours where applicable.&nbsp;<h4>Balance</h4>The balance column indicates how a charge is paid or intended to be paid. If the field is blank with "--", it means no payment is required because you don't charge for that activity.&nbsp;An activity with a balance will stay on the PLANNS calendar until a payment method has been applied and the charge is cleared. This helps keep staff accountable for charging every activity on a daily basis.See the Settings &gt; Payment Types article and the Applying Payments article for more information about how those payment types are set up and applied.Note: A number in the Balance column that shows in a red color means a payment has not yet been recorded on Planniac.<h4>Refresh screen</h4>If you're working quickly with changes and you don't see them on the screen, you might be faster than Planniac! Try using the Refresh button and see if your plans appear. If they don't, check to see whether you may have entered an incorrect date.<h4>How quickly does Planniac refresh?</h4>The Planniac system is fully synchronized with Cloudbeds PMS. Whenever there is a change to a reservation, those same details will be changed in Planniac within two minutes. Additionally, the Front Desk system queries the PMS every 15 minutes to synchronize any data that may have "escaped". Examples of this are changes to folio balances or new notes that have been added to reservations.&nbsp;<h2>Legend</h2>Sometimes an icon will appear under the activity type column.These may include:A red square in the far-left column means that the guest has already checked out.An orange square in the far-left column means that the guest is checking out today.A black circle in the far-left column means that the guest’s room reservation has been cancelled. Any activities that had been planned will remain on the list until they are cancelled. The purpose of this is to make sure that any booked activities for a guest who is no longer participating are cancelled with the tour operator or other resource, and, if the cost was already charged to the guest folio, then that charge is deleted.A red question mark indicates that a guest should have checked out already but is still showing as in-house.An orange triangle means there is an inconsistency with a group activity reservation.An Up Arrow means this was a PMS add-on automatically imported into PlanniacA little orange gear indicates an auto-generated entry (these are for certain activities or tasks that you want automatically included with every reservation that meets the criteria<h2>Planniac Help Center</h2>On the lower right-hand part of every page on Planniac, you will see a little button where you can contact support and view articles in our Help Center.When you click, you'll see all our support options. &nbsp;&nbsp;

<h2 class="LexTKB__h2" dir="ltr">Using Day View</h2>Day View gives staff a quick way to see what is happening on a specific day—and to book activities directly from the Day View panel.<img src="https://cdn-assets.productfruits.com/1bff5f94-1aa7-4304-bee9-ec81b2919587" alt="" data-position="full" data-width="79.32330827067669%" data-height="auto" class="lexical-inline-image position-full" style="z-index: 20;">Day view has two main views:<ul class="LexTKB__ul"><li value="1" class="LexTKB__listItem">All guests — See and manage activities for all guests staying at the property, as well as outside guests with activities booked that day</li><li value="2" class="LexTKB__listItem">Specific guest — Focus on the activities for one particular guest.</li></ul><h2 class="LexTKB__h2" dir="ltr">All guests</h2>The All guests view provides a complete picture of the day’s activities.Staff can use it to:<ul class="LexTKB__ul"><li value="1" class="LexTKB__listItem">See which guests have activities scheduled</li><li value="2" class="LexTKB__listItem">Review activity times and statuses</li><li value="3" class="LexTKB__listItem">See who is participating in each activity</li><li value="4" class="LexTKB__listItem">Open existing activities to view or update their details</li></ul>This makes Day View useful for handling requests that come up during the day—for example, when a guest asks the front desk to book a tour, spa treatment, transfer, or other activity.<h2 class="LexTKB__h2" dir="ltr">Specific guest</h2>The Specific guest view focuses on one guest’s activities for the selected day.Use it when you are working directly with a guest and want to see what they have planned or add something new to their schedule.From this view, staff can:<ul class="LexTKB__ul"><li value="1" class="LexTKB__listItem">See the guest’s activities for the day</li><li value="2" class="LexTKB__listItem">Review activity details</li><li value="3" class="LexTKB__listItem">Book an additional activity for the guest</li><li value="4" class="LexTKB__listItem">Open and update existing activities</li><li value="5" class="LexTKB__listItem">Use the '+Add activity' button to open a modal with the whole catalog of activities that can be booked, honoring the scheduling and capacity limits set in the Catalog.</li></ul>This is especially useful for last-minute or ad-hoc requests. A staff member can find the guest, see their existing schedule, and add another activity without leaving Day View.<h2 class="LexTKB__h2" dir="ltr">Booking an activity from Day View</h2>Day View can be used as a quick, ad-hoc activity booking tool.When booking an activity, select the guest and choose the activity you want to add. Planniac uses the activity’s existing setup—including scheduling, availability, capacity, pricing, and other booking rules—to determine what can be booked.Once booked, the activity appears in the guest’s schedule and in the appropriate Day View listings.<h2 class="LexTKB__h2" dir="ltr">When to use Day View</h2>Day View is particularly useful for front-desk and operations staff who need to manage activities throughout the day.Use it to:See the day Get a quick overview of everything happening today.Help a guest Look up a guest’s schedule and answer questions about their activities.Make a last-minute booking Book an activity directly from the Day View when a guest makes a request.Manage the schedule Open existing activities to review or update their details.Day View brings these tasks together in one place, making it easy to manage the day’s activity schedule without having to navigate through individual reservations.I dont' see an activity on Day View that I want to book.In the individual guest's view, at the bottom you'll see a + Add activity button. Click that and you can search for anything, like you would if you were making a plann the other way. Once you've added it to the list you can click in the timeline anywhere it's available.<blockquote class="LexTKB__quote" dir="ltr">Admin hint: You can choose to feature any activities on Day View with an easy setting on the Catalog page. Featuring them will show an outline indicating fixed schedules or timeslots. Then staff can just click on the 'empty' activity and book it! On-request activities can be booked by clicking anywhere. We recommend using that for frequently-booked transfers, tours, or check-in extras. </blockquote>

 02:53: You might remember I set it so children aren't available, but just to be on the safe side so that nobody accidentally selects it, I'm also putting 120 in as the price for a child.

If you charge separately for infants, add that in the activity when creating the reservation.<hr><h2 class="LexTKB__h2" dir="ltr">Step 4: Set the correct pricing logic inside each activity</h2>Each activity also has a “sold on” setting (see Settings &gt; Activity). Planniac uses the price for whichever Provider is chosen when scheduling the Plan.<hr><h2 class="LexTKB__h2" dir="ltr">Step 6: Pricing for tasks</h2>Tasks (such as housekeeping requests) can have prices too, especially when you want the charge recorded and reflected in Cloudbeds or marked as “Included in package.”<hr><h2 class="LexTKB__h2" dir="ltr">Common Questions</h2>What if I never charge for an activity?Mark it as Zero Price (see Article 2a below).What if the price depends on the Resource?Set pricing for each Resource — Planniac uses the correct one automatically.Can I charge both a group price and per-person price?Yes — very common on charters or tours with included/excluded headcounts.<hr><h2 class="LexTKB__h2" dir="ltr">Example scenario</h2>A snorkeling charter includes 6 people for $400. The guest list is your gateway to the wealth of information you can collect about any guest.&nbsp;At the top of the page, there's a little overview to give you some different views of your hotel's occupancy.Then the rest of the page is your guest list.<img src="https://cdn-assets.productfruits.com/bdc940f6-9db7-4e4a-a146-092bf967ca0a" alt="" data-position="full" data-width="90%" data-height="auto" class="lexical-inline-image position-full" style="z-index: 20;"><h3 class="LexTKB__h3" dir="ltr">What's on the main list</h3><ul class="LexTKB__ul"><li value="1" class="LexTKB__listItem">Primary guest. This is normally the responsible guest. It's the same name that appears on the dropdown selector on the Cloudbeds account.</li><li value="2" class="LexTKB__listItem">Status. It's easy to see at a glance the reservation or check-in status of your guests. If they're checked in, they'll display as in-house. You'll also see confirmed, pending, cancelled, no-show, and outside guest statuses. Indicators also let you know when the guests are traveling with a group or have a split reservation (moving from one room to another mid-stay).</li><li value="3" class="LexTKB__listItem">Booker. Sometimes the booker is the same as the primary guest, but sometimes it's a third-party or one of the other guests. Listing the booker helps you keep track of groups traveling together, too.&nbsp;</li><li value="4" class="LexTKB__listItem">Check-in date, check-out date, room assignment and confirmation number might be useful before, during or after a guest's stay. You can search the page by any of those things.</li></ul><h3 class="LexTKB__h3" dir="ltr">Search and filter</h3>Unless your mind is a steel trap, you might need a little help locating a guest record sometimes. Search makes that a little easier.&nbsp;<h4 class="LexTKB__h4" dir="ltr">Search</h4>In the 'Search' box, type a guest name, booker name, group nickname or confirmation number. You'll see a list of everything that matches and you can select a reservation from that list.&nbsp; <img src="https://cdn-assets.productfruits.com/c1bb8bb1-d9a3-464c-8996-acee544d7529" alt="" data-position="full" data-width="90%" data-height="auto" class="lexical-inline-image position-full" style="z-index: 20;"><h4 class="LexTKB__h4" dir="ltr">Filters</h4>You can use individual filters or combine them.&nbsp;<ul class="LexTKB__ul"><li value="1" class="LexTKB__listItem">Filter by status, such as 'Checked in,' 'Checked out,' 'Confirmed,' 'Cancelled,' and more</li><li value="2" class="LexTKB__listItem">Filter by room</li><li value="3" class="LexTKB__listItem">Select a date range to only show reservations within that date period</li><li value="4" class="LexTKB__listItem">Use a filter to only show 'Outside guests' &nbsp;</li></ul><h3 class="LexTKB__h3" dir="ltr">Missing reservation</h3>Planniac collects new reservation data from the PMS every minute, but if you just can't wait, use &nbsp;the 'Missing Reservation?' tool to import it in 20 seconds instead.<h3 class="LexTKB__h3" dir="ltr">Add an outside guest</h3>If your hotel offers activities to outside guests (like spa services, tours, and rentals), you can add the guest to your guest list. So you don't have to manage activities for in-house guests and outside guests in two separate places. Of course they're clearly identified.<h3 class="LexTKB__h3" dir="ltr">Display preference</h3>You might find it easier to work if you scroll through shorter pages of your guest list. We set the default at 100, but that can be changed. &nbsp;<h3 class="LexTKB__h3" dir="ltr">Refresh</h3>Click the refresh icon to reset the view settings and refresh the guest list. This is a little quicker than using your browser to reload the entire page.<h3 class="LexTKB__h3" dir="ltr">Actions</h3>Under Actions, you can select what you want to do next. You can view the guest details page, copy and send links to your online offers, guest itineraries or pre-registration form, view guest-specific notes and activity lists, add a 'placeholder' for a new activity, check the guest in or out, update the PMS, or go directly to the guest record on the PMS.&nbsp;<blockquote class="LexTKB__quote" dir="ltr">&nbsp;Tip: Are guests missing from your guest list page? If you are a new hotel to Planniac or you've been inactive a while, you may need to ask us to synchronize your guest list. For new Planniac hotels we recommend connecting your meal plans and Cloudbeds add-ons first, because then when you do the import/sync those add-on purchases will show up in Planniac.
