Some quick pointers for getting started with Planniac

You have a hundred things to deal with every day. Maybe even more. How do you keep those things organized and easy to deal with?

Planniac is going to help you:

  • Organize amazing stays for your guests
  • Provide 5-star concierge service whether you have a full guest services team or lean multi-tasking front desk
  • Be clear on what's happening right now and in the future whether it's transfers, tours, spa bookings, other services, or something needed in the room
  • Share an attractive and interactive itinerary with guests
  • Handle accurate activity billing to the PMS with a couple of quick clicks
  • Remember information about guests to personalize service; are they celebrating something? Do we need to worry about any allergies? What are the kids' names? Are they traveling with other people? Have they been here before?

Start with the basics:

If you start with this testing flow, you'll quickly get the hang of Planniac. Breaking it down into these basic steps will let you see real value and progress in short increments instead of getting overwhelmed by the entire process.

Create and book a few basic activities

  1. Ensure your connection to the PMS is active and your guest list is synced
  2. Add a few providers (these can be internal or external tour operators, transfer companies, spas, etc).
  3. Create some activities in your catalog (it doesn't have to be everything to get a good feel for how it works).
    1. Set up the activity
    2. Attach the providers that offer that activity (they have to be set up as providers first). You can have more than one – for example several transport providers you use for the same airport transfer.
    3. Complete your intervals for scheduling and pricing for each provider
  4. Schedule activities for a guest. Try it 3 different ways:
    1. From the Planns page, use the +Add plann button (this gives you the most booking options and controls)
    2. Use Quick plann (the vertical tab/button on the right center of the screen) to create another activity
    3. Go to the Day view tab (in the main navigation).
      1. Search for the guest
      2. Click the + Add activity on the left and select an activity
      3. From the timeline, click and book it for the guest
Suggestion for testing purposes: Create a fictitious guest in Cloudbeds approximately 3-4 weeks in the future.

Review your guest-facing features

  1. Go to the Guests page
  2. Select the same guest you've scheduled activities for
  3. Look on the left of the page for the yellow badges under 'Communications'.
    1. Select 'Itinerary'. Note that you can email the itinerary, copy the link to include in another type of message, or previvew. Select 'Preview'. A preview will appear that imitates a mobile phone view of the itinerary for that guest.
      • Does it generally look right?
        • If not, go to Settings > Itinerary to modify the header image, logo, and the elements that appear
      • Note: the preview does not include all the functionality that a guest would see. To get the full experience, copy the itinerary and paste into a new browser tab.
    2. Select 'Online offers'. Copy the link and paste into a new browser tab to see the page as your guest would.
      1. To modify the design, go to Settings > Online offers
      2. To modify the content, go to the Catalog and edit the activities. Make sure any activity you want to include has 'Online offers' activated.
    3. Select 'Registration' and copy the pre-registration link to preview
      1. The design controls for that are located in Settings > General settings.
      2. The content controls are located in Settings > Guest information settings

After testing the basics, you'll start to get the hang of Planniac.

The next steps will be fine tuning your activities and settings. You can find detailed instructions in other Help Center articles and by asking questions to the 'Assistant' tab on the lower left of the screen while you're in Planniac.
