Settings > Meal plans
Meal plans are defined in these settings. These plans are used on the Guests screen to select the package a guest has. Guests can also open a meal plan voucher on their mobile itinerary to review the plan or show it to restaurant staff. On the Guests screen, you can also print a business-card-size voucher that guests can present to the restaurant or to any provider offering services included in the package.
Managing meal plans
“Room only” is the default plan. Your account also includes a few sample plans to demonstrate different setup options. You can create additional plans or deactivate the sample plans.
Meal plan name
This is the guest-facing name of the plan. Examples include “Room only,” “Standard plan,” “Breakfast plan,” “Full board,” or “Unlimited.” You can enter any name you wish.
Edit meal plan tool
Click the edit icon next to a plan to modify its details and apply settings. This opens the plan detail window.
Toggles to activate
Active
If active, the plan appears in your list. If deactivated, it will be hidden until you select “Show all.”
Offers website
If enabled, this plan appears on your online offers/upsell page. Manage its settings using the edit tool.
Cloudbeds add-on
Enable this if you offer a matching meal plan as a Cloudbeds add-on. Adjust the linked settings using the edit tool.
On guest itinerary
Choose whether to show or hide the meal plan from the guest’s itinerary. Some properties prefer not to display “Room only,” for example.
Color code
A small icon appears on the guest itinerary to represent the meal plan. Assign a unique color to distinguish each plan.
Marketing description
Describe the features and inclusions of the plan. Highlight the key benefits so guests understand the value. This description appears on online offers alongside the plan photo.
Price
Enter the per-person, per-day price. On the offers (upsell) page, pricing automatically calculates based on the number of adults and children in the reservation.
Photo
Add a clear, attractive image that visually represents the meal plan and helps increase conversions.
Plan detail window
Selecting the edit tool opens a window with additional settings.
General settings
Edit the plan name, set validity times, allow a grace period for usage, and adjust sales tax if it differs from your default rate.
Planniac offers settings
Beyond the marketing description, price, and photo, you can also set additional online offers options:
- Assign a more marketing-friendly display name
- Link a task to alert staff when a plan is purchased
- Select a task status for that notification
Cloudbeds add-on settings
These settings connect Cloudbeds add-ons with the meal plans in Planniac.
Meal plan name — important
The name must exactly match the Cloudbeds add-on name, including capitalization and punctuation. To avoid errors, copy and paste the name directly from Cloudbeds.
Task to create
Optionally create an internal task when a Cloudbeds meal plan is purchased. Tasks are managed in Providers.
Created task status
Select the status that the task should have when it’s generated.
Itinerary notes
These notes appear on the guest itinerary or on internal reports, depending on type. Use them to provide useful reminders or instructions.
Note before active on check-in day
Visible to guests, typically used to clarify that the plan activates at check-in.
Note once plan is active
Confirms activation to the guest and staff.
Note prior to check-in day
Reminds the guest when the plan will become active.
Internal note (not seen by guest)
Visible only on the restaurant mobile report to help staff verify meal plan details.
Printed meal plan card
This applies to both the printed card and the mobile itinerary. The “front” and “back” sections also appear live on the guest itinerary.
Text on front of meal plan card
The Guests screen allows you to print a business-card-size meal card. It can be folded, trimmed, or laminated. Text on the front appears with the guest name, dates of stay, and meal plan name.
Limit: up to 6 lines, 50 characters per line.
Text on back of meal plan card
Use the back for additional information, such as:
- Extra meal plan details
- Additional inclusions (e.g., bikes, pool towels)
- Upsell content
Pro tip: Use the back to cross-promote other hotel services.
Meal plans vs. pack meals
Meal plans refer to packages such as “Breakfast included,” “Half board,” “Full board,” or “All inclusive.” This article covers meal plans.
Pack meals are food items provided as part of another activity, such as “Tour lunch” or “Picnic basket.” See the Pack Meals article for details.
