✅ How to: Add Planniac guest links to Cloudbeds scheduled emails

Use these links in Cloudbeds scheduled email templates to send each guest to their own Planniac itinerary, pre-registration form, or upsell page. Cloudbeds replaces the custom field with the guest’s unique booking information when it sends the email. So each guest gets a personalized link.

Before you start

Use your hotel’s exact Planniac link prefix. Do not reuse the example hotel name below (url_slug) unless it is your property.

• Pre-registration: https://guest.planniac.com/registration/[url_slug]/
• Upsell: https://guest.planniac.com/reservation/[url_slug]/

Replace [url_slug] with the short version of your hotel name that has been set, or your PMS ID. You can't alter the information otherwise or the links won't work.

About the url_slug

A url_slug is typically something like sandbox_suites or demohotel or similar, containing a short url version of your hotel name. Once this is created for your hotel it can't be changed.

Inserting links into a Cloudbeds email template

Cloudbeds may add hidden characters when a complete link is pasted into the email editor. This stops it from replacing the guest-specific information correctly.

To avoid this, do not paste the full Planniac link. Instead, insert the Cloudbeds custom field first, then use that inserted field to create the link.

Create an itinerary or pre-registration link

1. In the Cloudbeds email editor, click where you want the guest link to appear.
2. Open the Nothing Selected dropdown.
3. Find and insert the Planniac reference field:
   [cf-{123456789012345}|planniac-ref-ID]. The number after cf- will be unique to your hotel and will be 6-24 characters.
4. Highlight the field that was inserted into the email and copy it.
5. Click Add Link.
6. Cloudbeds should automatically add the copied custom field to the link window.
7. In the URL field, put the associated Planniac address directly before the custom field.
   a. Itinerary:
   https://itinerary.planniac.com/[url_slug]/[cf-{123456789012345}|planniac-ref-ID]
   b. Pre-registration:
   https://guest.planniac.com/registration/[url_slug]/[cf-{123456789012345}|planniac-ref-ID]
8. Replace the text in Text to display with the words the guest should see, such as “View your itinerary” or “Complete pre-registration.”
9. Click Insert Link and save the email.

Create an upsell link

Use the same process, but insert the Cloudbeds confirmation-number field and add this address before it:

https://guest.planniac.com/reservation/[url_slug]/[conf number]

With the upsell link, you don't need the cf- number described for the itinerary and pre-registration links.

Important

• Always insert the custom field from the Nothing Selected dropdown first, then copy that inserted field into the link window.
• • Planniac can't provide you with these links. The cf- number is created automatically in Cloudbeds when your Planniac account is created, and will appear on the insertable link dropdown automatically.
• Do not type or paste the Planniac reference field directly into the URL field. It won't work.
• Replace [url_slug] with your hotel’s Planniac URL slug.
