Using the F&B activity calendar as an ad-hoc restaurant reservation system

If your hotel restaurant is still managing reservations on paper, a spreadsheet, or a manual list, you can use Planniac’s F&B activity calendar as a simple reservation list.

It isn’t a replacement for a dedicated restaurant reservation system or POS. Instead, it’s an easy way for smaller hotel restaurants to manage reservations—and other F&B activities—using Planniac.

Before you start

There are three things to set up before using the F&B activity calendar for reservations.

1. Set up F&B statuses

Go to:

Settings > Status lists

Find the F&B statuses and make sure they match how your restaurant handles reservations and orders.

For example:

Requested
Confirmed
Seated
Complete
Cancelled
No show

The status settings also determine how activities appear and behave in the F&B calendar.

2. Set up reservation times

Go to the Catalog and open your restaurant reservation activity.

Set up the available time intervals for reservations.

For example, if your restaurant takes reservations every 30 minutes, you might set up:

5:30 PM, 6:00 PM, 6:30 PM, 7:00 PM, etc.

3. Set up your restaurant tables

Settings > Activities > Restaurant tables

Add your restaurant tables and enter the table name and capacity. You can also add the table type, section, and provider if you use them.

Go to: https://hotel.planniac.com/settings/activity

These tables will be available to select when managing F&B activities.

Using the F&B activity calendar

Once setup is complete, go to the F&B activity calendar.

This becomes your restaurant’s daily reservation list.

Each activity shows the information your staff need at a glance:

Date · Time · Guest · Room · Activity · Location · Pax · Table · Status

The default view is Today, making it easy for restaurant staff to use the calendar during service.

Filter the list

Use the filters to quickly see what you need.

For example:

Filter by Restaurant to see restaurant reservations.
Filter by Room service to see room service orders.
Filter by Location to see activities in a particular area.
Filter by date to see another day’s reservations.

You can also click parent activities, activity names, and locations to quickly filter the list.

Manage a reservation

From the F&B activity calendar, staff can update information such as:

Date
Time
Pax
Table
Location
Status

Guest and room information is also available, including allergy indicators and guest notes.

This means the calendar can function as the restaurant’s working reservation list rather than simply being a report.

More than restaurant reservations

The F&B activity calendar isn’t limited to restaurant bookings. You can use the same approach for:

Room service
Takeout
Delivery
Catering
Private dining and events
Other F&B activities

Coming soon: A simple Add booking flow will allow staff to create restaurant reservations directly from the F&B calendar, select an existing hotel or outside guest, choose a date and time, and enter the number of guests.

Coming soon: Planniac will also check table capacity and availability when creating new bookings.

The idea

For a small hotel restaurant, you may not need a full restaurant reservation system.

If you already use Planniac, the F&B activity calendar gives you a simple way to turn your existing activities into a practical daily restaurant reservation list—without adding another system or subscription.
