Give guests a clean, mobile-friendly itinerary that updates automatically as you add or change their Planns โ€” like transfers, tours, spa reservations, rentals, or restaurant bookings.


Step 1: Make sure you have the guestโ€™s correct email

Always double-check or update the guestโ€™s email before sending an itinerary.

If they booked through an OTA, they may have a masked or temporary email โ€” ask for their real one so they actually receive their itinerary.

You can add or change a second email address for itinerary delivery. (Cloudbeds-synced emails cannot be edited.)


Step 2: Preview the itinerary

Select Preview to see exactly what the guest will see.

This helps you catch missing times, wrong activity days, or anything else youโ€™d like to clean up before sending.


Step 3: Send or resend the itinerary

Once everything looks right, click Send to Guest.

Planniac emails the guest a link to their personal itinerary โ€” no app download needed.

The itinerary is live-synced, meaning:

  • If you add a tour, the guest will immediately see it
  • If a transfer time changes, the update appears automatically
  • If you add pre-arrival arrangements, they show up instantly

Encourage guests to:

  • bookmark the link
  • save the itinerary to their phoneโ€™s home screen

Step 4: Understand what guests will see

The itinerary organizes activities into clear sections:

  • Pre-stay (anything arranged before arrival)
  • Arrival day (flights, transfers, and day-one plans)
  • During stay (tours, spa, rentals, restaurant reservations, etc.)
  • Departure day
  • Post-stay (anything arranged after they leave)

Guests can tap any item to expand for more detail โ€” times, meeting points, notes, etc.

Dietary requests and special notes appear at the bottom so guests know you havenโ€™t forgotten them.


Step 5: Make sure guests can reach you

The bottom of the itinerary shows contact buttons (WhatsApp, phone, SMS, or email).

These pull their info from Settings > Business Information โ€” so keep those details up to date.


Step 6: Customize the itinerary images (optional)

You can customize:

  • Header image (1600ร—220; keep important elements centered in 850ร—180)
  • โ€œSave to phoneโ€ button icon (125ร—125)

Just send your images to the Planniac team via chat or email.

Tip! Important note about groups

Planniac currently sends itineraries per room, not per group.

If three rooms are traveling together, each room gets its own itinerary link.


Example scenario

A guest emails before arrival asking to add a sunset cruise. You add the activity to their stay and click Send to Guest again. The guest taps the same itinerary link they already had and sees the cruise instantly โ€” no extra back-and-forth needed.
