Understanding treatments, rooms, skills and therapists

Spa Planner uses treatments, rooms, skills and therapists together to determine availability. Understanding these relationships is the key to accurate scheduling.

Overview

Spa Planner uses treatments, rooms, skills and therapists together to determine availability. Understanding these relationships is the key to accurate scheduling.

Treatments

Treatments are the services your spa offers.

Examples:

  • Relaxation Massage
  • Deep Tissue Massage
  • Hot Stone Massage
  • Facial
  • Body Wrap

Each treatment can include:

  • Duration
  • Cleanup time
  • Pricing
  • Room restrictions
  • Skill requirements

Rooms

Rooms are the physical spaces where treatments occur.

Examples:

  • Massage Room 1
  • Facial Room
  • Couples Suite

Assigning rooms helps prevent scheduling conflicts and double-bookings.

Skills

Skills represent therapist qualifications.

Examples:

  • Massage Therapy
  • Facial Specialist
  • Aromatherapy
  • Reflexology

Skills help ensure appointments are assigned to appropriately qualified staff.

Therapists

Therapists are your staff members who perform treatments.

Each therapist can be assigned:

  • One or more skills
  • Working schedules
  • Time off
  • Appointment assignments

How availability is calculated

When an appointment is created, Spa Planner checks:

  • Whether the room is available
  • Whether a qualified therapist is available
  • Whether the appointment falls within spa operating hours
  • Whether the therapist is scheduled to work

If all conditions are met, the appointment can be scheduled.

Example

A guest requests a 60-minute Deep Tissue Massage.

Spa Planner looks for:

  • A therapist with the required skill
  • A room approved for the treatment
  • An available appointment time

This helps eliminate scheduling conflicts and keeps your spa operating smoothly.
