There are four sections in the Guest Information Settings:
Enable or disable the standard guest information collection process. This involves gathering essential details manually entered on Planniac by your staff, which, whenever possible, seamlessly syncs with Cloudbeds guest data to avoid duplication and ensure accuracy. For pre-registration, determine exactly which pieces of information you require when guests complete their online check-in or pre-check-in. This step is crucial to avoid unnecessary delays upon arrival and to tailor their experience right from the start. When it comes to outside guests, specify what information is necessary from those who are not staying at the hotel but are utilizing services like the restaurant, spa, or gym. This ensures you have the right data to manage their experience effectively. For outside guests interested in activities, especially those browsing your promotions on Planniac's Online Offers page, decide on the specific information they should provide when making a booking online. This helps in personalizing their experience and managing bookings more efficiently.
Why display data fields that aren't strictly required? The answer is simple: the more information you gather from a guest, the better you can serve them. Gathering additional details, even if they're optional, can significantly enhance their experience and potentially encourage repeat visits. For instance, while you might not mandate information like children's ages, having an age entry field available could allow you to prepare a delightful surprise for a family upon check-in. Similarly, if guests are given the option to indicate the purpose of their stay, it can offer insights, such as discovering they are celebrating a milestone birthday, which might inspire you to leave a thoughtful card or small gift in their room. In Planniac, this information is applied broadly across various services. It's not currently feasible to require specific information for different activities, like tours versus spa treatments. Therefore, it's important to make overarching decisions about which information to display and require, ensuring consistency and efficiency in your guest data management.
